Staff posted prior to 1 January 2014 who go on transfer journeys must always fly the most direct route and the most inexpensive economy class. In case the overall travelling time exceeds six hours, business class may be used.
Staff posted after 1 January 2014 who go on transfer journeys must fly economy class irrespective of the length of time of the journey.
Please make the ticket booking directly with the MFA’s travel agency, Carlson Wagonlit by phone: + 45 33 92 11 70 or by e-mail: UM.firstname.lastname@example.org. Subsequently, the journey is to be created as a “Travel Booking” in RejsUd. This can only be undertaken by the posted staff member.
Staff posted prior to 1 January 2014 may bring up to 40 kg baggage per person on the transfer journey. This includes the baggage which the air ticket allows for. For example, if the ticket allows for bringing 20 kg, the MFA will against documentation cover 20 kg overweight baggage per person. Subject to prior agreement with HR/Udeteam, such baggage may be sent by air freight.
Staff posted after 1 January 2014 may in connection with the transfer journey have expenses reimbursed for overweight baggage corresponding to one item of extra baggage per accompanying family member. Please check if it is advantageous to pay for extra baggage on the air company’s website.
Furthermore, air freight transport is possible regarding up to one cubic metre of equipment for each accompanying child under the age of four travelling from overseas posts. Please call the contact person in HR/Udeteam for further agreement on this.
Insurance coverage for transfer journeys undertaken by private car from the post will be ensured by obtaining a travel requisition from the Mission. No cash advance for travel expenses may be granted for a transfer journey.
