Head of Administration/Administrative Officer

Denmark is opening an embassy in Buenos Aires! The Embassy will work to further enhance the strong bilateral relations between Denmark and Argentina and strengthen the Danish presence in South America significantly.

To help establish the new Embassy, we are seeking two dynamic, positive, and professional mission‑employed staff members to work respectively as Head of Administration and Administrative officer, depending on the level of qualifications, approach and experience. You will be part of an Administration and Consular Affairs team.

Job description:

Tasks and responsibilities will include:

  • Accounting – book-keeping, invoicing, bank reconciliations, quarterly accounts, salary and tax administration etc.
  • Management of the Embassy’s properties (locating premises, negotiating leases and supervising refurnishing in close coordination with the Danish Ministry of Foreign Affairs, ongoing contact to property owners, maintenance etc.)
  • HR: Employment contracts and care of interns
  • Handling and communicating with Argentinian authorities on diplomatic status, tax exemptions etc.
  • Ad hoc administrative tasks

Depending on the qualifications of the successful applicant, duties could also include:

  • Coordinating the administrative tasks and resources at the Embassy, including the driving, housekeeping/maintenance, reception etc.
  • Back-up functions with passports and other consular tasks
  • Managing incoming/outgoing correspondence of the Embassy

The final job description will be made when all staff has been recruited to the Embassy and will depend on the joint as well as individual qualifications and experience of each team member.

In the start-up phase of the Embassy, all staff are expected to be flexible in terms of work tasks and help out where required.

 

Qualifications / Requirements:

  • At least 3 years of proven experience in accounting and/or administration from a similar position, preferably from a diplomatic mission or embassy.
  • A bachelor’s degree or similar vocational administrative qualifications
  • Excellent communication and organisations skills
  • Strong personal drive and the ability to work independently while contributing to the team.
  • A strong sense of responsibility, integrity and discretion
  • Proven ability to navigate in and comply with complex rules, procedures, and guidelines and to stay calm at times of high work load and time pressure
  • Fluency in Spanish and good spoken and written English. Danish language skills will be an asset but not a requirement.
  • Strong IT skills, incl. MS Office.
  • If applying for the Head of Administration position, proven leadership and management experience.

The starting date is projected to be 1 February 2027 or as soon as possible thereafter. Security clearance is a strict pre-requirement for employment and may take more time.

Until the permanent chancellery of the Danish Embassy is established, the team will be working from temporary facilities centrally located in Buenos Aires.
